Manage Invitations

The Invites section allows authorized administrators to manage all invitations created for the school.

From this section you can:

  • View existing invitations
  • Search for specific invitations
  • Review invitation details
  • Revoke active invitations

Invitations cannot be edited after creation.
If changes are needed, the invitation must be revoked and a new one created.


To manage invitations:

  1. Open your School.
  2. Go to School Settings.
  3. Navigate to the Invites section.

Only users with invitation management permissions can access this page.

The invitation list shows key information for each invitation, including:

  • The user who created the invitation
  • The invite code
  • The invite link
  • Creation details

You can use the search function to quickly locate invitations.

Search may support:

  • Creator name
  • Invite code
  • Partial invite link

Each invitation automatically generates a unique invite link.

Characteristics:

  • Every invitation has its own link.
  • The link leads to a dedicated invitation page.
  • That page may display:
    • School information
    • The invitation context

Users can join the school directly from this page if the invitation is valid.


Each invitation also generates an alphanumeric invite code.

Characteristics:

  • Contains both letters and numbers
  • Unique for each invitation
  • Can be shared together with the invite link

Users may enter the code when joining a school if the platform supports code-based joining.


Existing invitations:

  • Cannot be edited
  • Cannot be modified

If you need to change an invitation:

  1. Revoke the existing invitation.
  2. Create a new one.

The only available action for an existing invitation is:

Revoke

When an invitation is revoked:

  • The invite link becomes invalid
  • The invite code no longer works
  • New users cannot join using that invitation

This action cannot be undone.

Members who already joined using the invitation will remain in the school.


Before revoking an invitation, check whether it has been shared publicly.

For example, it may appear in:

  • Websites
  • Social media
  • Documentation
  • External communications

Once revoked, the invitation stops working immediately.


To manage invitations effectively:

  • Monitor active invitations regularly
  • Revoke outdated or unused invitations
  • Avoid sharing private school invites publicly
  • Use separate invitations when distributing access through different channels
